GUIDELINES 


 

TIMELINE

Aug. 10, 2008:  Entry Deadline [midnight Pacific Time/USA]

Aug. 27, 2008:  Notification of Juror Selections [via email]

Sept. 22-29, 2008:  Artworks must arrive at the museum

Oct. 4, 2008:  Exhibition opens at New York Hall of Science

Oct. 4, 2008:  Online Exhibition opens at ASCI's website
Oct. 5th [3-5pm]:  Reception at New York Hall of Science
Jan. 25, 2009:
 
Exhibition closes at New York Hall of Science
Jan. 27-30, 2009:  Arrange for pick-up or return shipping

*It is very helpful to print-out the payment instructions so that when you are at that page, you can follow them very carefully.

Please submit images, form, & payment on same day!


Selected Artists/Scientists Receive:
 

-         Anticipated 100,000+ individuals & families will view your work at the museum;

 

-         Inclusion in the permanent Digital’08 online exhibition at ASCI's website; ASCI’s site receives approximately 40,000+ visitors/per month;

 

-         The exhibition will be announced to our 10,000+ art-sci colleagues list and promoted to various art and science online journals;

 

-         Approximately 25 color exhibition announcement postcards;

 

-         There will be a modest Opening Reception;

 

-         We will try to interest other exhibition venues in traveling the show.



SUBMISSION GUIDELINES

 

Digital Image-Making Process: 

There must be computer manipulation or enhancement during the image-making process. "Straight photos" or digitized paintings printed with a digital printer are NOT acceptable.


Digital Output Media:  Although most digital prints are on paper, we will accept various digital output surfaces, including canvas, aluminum, and other rigid materials, all with protective coatings. Transparencies like Durotrans when used as part of a finished product such as a lightbox.  For Lightbox Restrictions:  Email "asci [at] asci [dot] org"

 

3D digital prints are welcomed, but not more than 40 lbs. total weight.

Protect your artwork:  Science museums are mostly "hands-on" environments; unlike art museums with guards in each room. So, your framing and hanging system should compliment the style of the work and offer surface protection for the digital print.
 

DIGITAL IMAGE SPECIFICATIONS:

Only artworks appropriate for a "family" audience. [No explicit sexuality.]

AMOUNT:  1-5 images maximum

-  A "series" counts as individual artworks in terms of Entry Fees [example: if 5 images in the series, entry fee is $50]. Images will be hung together on the wall.

-    JPG images will be deleted after Juror process, except those selected for the museum exhibition. Participating in the Digital'08 exhibition automatically gives permission to ASCI for the selected images to be permanently archived in the Digital'08 online exhibition.
 
 
IMAGE FORMAT:  [we accept JPGs only!]
- save image at 72 pixels/inch
- size*: approx. 480-pixels height x 650-pixels width
- save image as "jpg"
- your "last name" should be the first word in your jpg title
[example: "SmithJH_MolecularDaze3.jpg"]

*JPG SIZE TEST:  When you attach your jpg(s) to an email, the title and "final compression" KB size appear in the attachment area of email. NOTE: an image in Photoshop could show the "image size" as just under 1MB, but after jpg compression, it could go down to 200KB. We hope this helps clarify what we want.

ONLINE FORM
You must fill-out and "submit" the Online Entry Form.
 [Form link is at the bottom of this page] Make sure to include “caption” information for each "jpg". Print-out and save your Online Entry Form.

 

TWO OPTIONS FOR SENDING JPGs:

1)  Attach 1-5 jpg(s) to an email
Do NOT put image info into email [put in Entry Form only]

Subject Line:  Digital’08 + [Your Name]
-  1-MB maximum size of attachments to each email
-  Send emails with attachments to: asci@asci.org

OR...

2)     Post jpg(s) online at yours or another website
-  Post jpg(s) at your website or on a special web-page.
-  On our Online Entry Form, give specific URL of each "jpg" [This URL is NOT your website homepage].


Entry Fees:  
$10.00 per digital image, maximum of 5 images.

FRAMING: 
or other professional display systems.

-        Maximum size approx. 36” x 48”

     [large size: also support at centers of frame]

    

-        Print + frame cannot weigh more than 40 lbs. total

    

-        Use plexiglas or lexan for digital prints on paper

 

-    Include any special hanging mechanisms & instructions with artwork

SHIPPING & CRATING/BOXING: 

-         Artists/scientists are responsible for delivery/pick-up of artworks to/from the museum if you are local, OR you must pay shipping and crating costs. 


-    Put your name & title of print on a paper fixed to backside of each print.
   

-         Wrap artworks in plastic and put inside a reusable cardboard box [or crate] with reinforced/protected corners [even for local deliveries].  You, or the shipping company, are responsible for any damage during shipping.

 

-        Use FedEx, DHL, or UPS as your shipper, or a professional art shipper.


*RETURN SHIPPING must be Pre-Paid:  
A “Pre-Paid” label from your shipper must be filled-out and placed inside an envelop and included with artwork when you are wrapping it before shipping to museum. Artworks will NOT be displayed without receipt of Pre-Paid Return Shipping Label prior to the exhibition's opening. OR, put your name, address, phone#, shipper's phone#, and Your Account# on a note and into an envelop included with your artwork [inside plastic packaging].

Pick-Up artworks in-person
or arrange for "return shipping": 
Between January 27–30, 2009

INSURANCE IN TRANSIT:  Artists and/or scientists must pay for insurance of their artworks during transit to/from the museum. Most people use insurance of the shipping company.

 

MUSEUM COVERAGE:  If there is damage to or theft of your artwork while it is on display, then the New York Hall of Science will pay for replacement cost of the materials for you to recreate the print and/or frame.

 

ONLINE EXHIBITION:  The submitted jpg images of all Juror-selected artworks will be used to produce the Digital’06 online exhibition that documents the physical exhibition. The online exhibition will have a Featured mention+link on ASCI’s homepage for the length of the show [Sept.30, 2006 – Jan.15, 2007] and then will be permanently archived with free public access.  Sending your digital print to the physical exhibition constitutes your permission for inclusion in the permanently archived, online exhibition.

ASCI is a nonprofit organization that charges minimal fees
to support the production of this exhibition and its
